Create and publish

Create an event

Publish an in-person, linked or 3D-world event, decide who can RSVP, and optionally charge for entry.

An event is a single block of time that people can RSVP to. It can take place in person, at a link such as a map or a video call, or inside a 3D world on Hive3. This guide walks through the four steps of the event form and what you can do once the event is live.

Who can do this: any account on any plan can publish events, and so can the owner, admins and moderators of a community. Some options need more:

  • Members-only access, subscriptions and tickets need a Honey Bee or higher plan. A Worker Bee account publishes every event publicly.
  • Metaverse events need Honey Bee or higher. See Host in a 3D world.
  • Setting a ticket price or connecting payments is for owners and admins.

#Start a new event

My HiveMy DashboardEventsNew Event

Open the dashboard of the account that should host the event. If you manage a community, open its dashboard first so the event is published as the community. Select New Event on the Events tab.

The form is titled Create Event. The panel on the right lists the four steps, shows a live preview card and holds the Back and Next buttons. You can select a step you have already reached to jump back to it.

Hive3 saves your progress automatically as a draft once you have entered a title, a description or an image. Select Drafts in the panel to reopen a Saved drafts entry or delete it. If you select Cancel, Hive3 asks Leave event creation? and offers Discard draft, Keep editing and Save & exit.

#Basic Info

This step holds what people see first on the event page and in lists.

  1. Add an Event Banner

Upload a wide image. Hive3 recommends 1200 × 400 pixels. The banner is optional.

  2. Write the Event Title

Required. Up to 60 characters, with a live counter.

  3. Write the Short Description

Required. Up to 125 characters. This is the line that appears on event cards.

  4. Write the Full Description

Required. Write in the editor, which supports headings, lists, links, images, tables and embedded YouTube videos, up to 3,000 words. Or select Upload Document and choose a PDF or Markdown file. Hive3 converts a Markdown file to text, and shows an uploaded PDF on the event page.

  5. Choose badges

Pick up to 5 badges from the suggestions. Badges help people find the event.

If your plan includes credentials, you also see a Credential image field. Hive3 generates a badge from the event name, or you can upload your own square image (400 × 400 pixels recommended). People who complete the event can earn the credential. Accounts without a plan that includes credentials see a note on the last step: Credentials are included with Honey Bee and above.

#Event Type

Choose where the event happens.

  1. Select IRL Event or Metaverse Event

IRL Event is for an in-person event or one at a linked location. Metaverse Event is hosted in a 3D world. There is no separate online type: use IRL Event with a video-call link.

  2. For an IRL event, add the Event Link

Required. Paste a map link such as https://maps.google.com/... or a call link such as https://zoom.us/.... Select Unlimited participants, or clear it and enter a maximum RSVP count.

  3. For a Metaverse Event, set the capacity and choose the world

Enter Maximum participants. It is required: up to 500 in a shared world and up to 100 in a Royal Hive world. Then choose the world. Honey Bee picks one of the shared worlds for each event. Swarm uses its default shared world and Royal Hive uses its own world. If you do not have a world yet, a Choose your world button opens your Worlds page in a new tab so you keep your place.

#Scheduling

An event is one block of time on one day.

  1. Pick the day

Use the arrows at the top to move between weeks.

  2. Drag across the time you need

Press on the calendar where the event starts and drag to where it ends. The grid works in 15-minute steps. Drag the handles at the top and bottom of the block to adjust it.

  3. Check the time zone

The time zone menu next to TZ starts with your own zone. Change it if the event is for people elsewhere.

You need a start and an end, and the end must come after the start. For a metaverse event, times that other events already hold in that world show as Booked, and you see That time is already booked. if you drag over them.

For an event in a shared world, a banner above the calendar tells you how much metaverse time you have. If the event is longer than your balance, it says how many minutes you are over. Owners and admins then see a Top up button in place of Next until the event is shortened or time is bought. In a Royal Hive world the banner says Unlimited time in your own world. See Host in a 3D world for how time is counted.

#Event Access

Choose how people RSVP and who can see the event.

  1. Choose the Enrollment Type

Auto-enroll participants lets people RSVP directly. Apply for entry makes people apply and wait for your approval.

  2. Choose the Visibility

Public lets anyone view the event and start the RSVP. Members only limits it to members or collaborators. Subscription / ticket asks for an active subscription or lets people buy a one-time ticket. Worker Bee accounts see only Public.

  3. For paid access, connect payments

If payments are not connected yet, a Connect Stripe to enable paid access notice appears with an Open Payments button. Stripe is required for subscriptions. See Get paid.

  4. Pick a subscription or set a ticket price

Under Select subscription, choose a plan, or leave it on None (No gate) if you sell tickets only. For a ticket, turn on Enable one-time ticket pricing in the One-Time Event Ticket section, then enter a Price and a Currency (USD, EUR or GBP). The price is required once tickets are on.

One-time tickets need PayPal connected. Until it is, this section shows Connect PayPal to enable ticketing. Moderators can choose an existing subscription plan but cannot set a ticket price.

Event Access. Paid access needs a connected payment provider.

#Publish

On the last step the button in the panel reads Create Event. Select it and Hive3 asks Ready to publish? with the message that it will create your event and take you to the published event page. Choose Create Event to confirm, or Keep editing to go back.

The publish confirmation.

#After you publish

You land on the event page. As the host you see these buttons at the top:

  • Enter as host for events in a world. See Host in a 3D world.
  • Enrollments opens Manage Enrollment.
  • Edit Event, until the event starts.

#Manage RSVPs

Manage Enrollment lists everyone who RSVP'd, with tabs for All, Pending, Approved and Denied and a count on each. With Apply for entry, review each request and select Approve or Deny. For approved guests you can select Mark attended, which then shows Attended.

Managing RSVPs. Guests appear here with their status; pending applicants also get Approve and Deny buttons.

#Edit, hide or delete

From your dashboard, use Edit, Delete or the More actions menu. The form reopens as Edit Event and the last button reads Update Event, then Ready to update?.

Once an event has started it can no longer be edited or deleted. After it has finished you can hide it from your profile. If you delete a metaverse event before it starts, the purchased metaverse time it used goes back to your balance.

#Tips

  • Keep the title short enough to read on a card. The Short Description carries the detail.
  • Choose Apply for entry when your space is limited and you want to see who is coming.
  • Check your metaverse time on the dashboard before you schedule a long event in a shared world.
  • Everything on this page can be edited until the event starts, including the time and the access rules.
